Shift schedules with magnets

You can make some really smart board systems with magnetic tape, boards and differently colored magnets. Here are some suggestions for employee whiteboards, where you can quickly get an overview with the magnets:

Hospital department plan

Most hospital departments have a large whiteboard for dividing departments, employees, shifts and patient information . These boards can be "drawn on" with black magnetic tape or dividertape

The form must be divided into horizontal and vertical columns, where the vertical columns are the "main topic". For example, outpatient clinic: under this category, it can be divided into rooms with the names of the respective outpatient clinics. This is how the schedule continues with main topics such as operating rooms, emergency room duty, living room corridor, outside the house, etc. All employees in the department each get a magnet with either a name or a picture on it. These are then moved around so that everyone in the department can at any time get a quick and visual overview of where all the colleagues are in the department - a snapshot that helps to streamline daily life at the hospital. 

From the office column onwards, the columns do not need to be divided into rooms. On the far right, the magnets are placed for the employees who are not at work that day. 

This system could of course also be used in other workplaces where people do not have offices or fixed places where they are usually located. Eg. in a cleaning company.

A board for the car workshop

You don't have to run a hospital to benefit from a planning board at work. Eg. it also makes good sense to hang up a large whiteboard in the workshop for planning everyday life:

1) When a car (or another vehicle) is reported for arrival, this unit is registered and its information (owner's contact info, damage to vehicle etc.) is noted on the board on an independent line by filling in the various predefined columns. 2) A red magnet is placed next to the car's information, which signals a new car that has neither been looked at nor progressed through the workshop yet. 3) When the car is taken to the workshop for repair, the red magnet is replaced by a yellow magnet, which signals that the car is now being repaired. 4) When a car is finished and ready for collection, it gets a green magnet on the board.

In this way, everyone can easily and quickly get an overview of cars in progress at the workshop and in the exit.

An additional option could be to use a white magnet that signals that the owner of the car has been contacted and notified that the car is ready for collection.
